Otomat Operator: AI conversation and voice
The Operator is an AI guide for public business planning, not a human advisor. Its answers can be wrong. Do not submit personal records, protected health information, credentials, confidential deal material, legal files, or other sensitive information. There is no public document-upload feature.
When you send a question, our server sends the message and recent conversation context to OpenAI to generate an answer using a reviewed public knowledge snapshot. The application does not save conversation text to a database or application logs. Conversation context is held in server memory for up to 30 minutes from session creation and is cleared when the close or clear request reaches the server; a lost connection may leave it until expiry. Minimizing stops recording and playback while preserving your work in page memory; resume on the same page to continue. Closing, clearing or reloading removes that work from the interface. Minimizing does not extend the server session expiry. A deployment may end a session sooner.
Voice is optional. After you enable it and press Record, your browser captures up to 30 seconds and sends the recording through our server to OpenAI for transcription. Review and edit that transcript before sending it as a question. We do not retain raw recordings in application storage. Audio you choose to play is generated by Google Cloud Text-to-Speech from the displayed answer; it is an AI-generated voice. You can stop playback, cancel recording, or switch to text. Microphone permission alone does not authorize Otomat to receive your conversation as a sales lead.
OpenAI and Google process requests under their applicable service and data policies. This application does not promise zero provider retention or a particular processing region. See OpenAI data controls and Google Cloud privacy.
To protect the service, we keep usage counters indexed by a daily salted network-address hash in access-controlled storage, with a two-day lifecycle deletion rule. Cloud infrastructure may also maintain ordinary request metadata. Application analytics record interaction events and operational counts, not question text or transcripts. Visitor conversations never automatically update the public knowledge base.
You can download a brief without providing an email. Preparing a working-session request temporarily carries your brief in this browser tab’s session storage to the contact form, where it is removed from storage and shown for review; the transfer expires after 30 minutes. The full conversation is included only if you select the separate transcript-sharing option. Value worksheet inputs and calculations stay in browser memory and are not sent to AI providers or analytics. They enter a downloaded or contact brief only when you explicitly select the separate worksheet-sharing option. Nothing is submitted to the team until you submit the contact form or send through your email app. Once submitted, the contact-request retention terms below apply.

We retain your personal information only for as long as necessary to fulfill the purposes described in this policy, or as required by law. Contact form submissions and inquiry data are retained for the duration of our business relationship and a reasonable period thereafter.
